What happens to your request.

What we collect

The form collects your name, email, phone number, suburb or postcode, pool or spa type, council, certificate due date, confirmation that you hold the council letter, chosen inspector and consent. It may also record campaign labels, the page that sent you to the form and the referring website's hostname so we can tell which promotion produced the request. We do not ask you to upload the council letter.

How we use it

We check whether the request is complete, within Ballarat and due within 60 days. If it passes, we share it only with the selected registered inspector. The inspector may contact you to discuss availability and their own quote. We do not sell the request to several businesses.

Where it is stored

Cloudflare validates the form and FormSubmit delivers the qualified request to the site operator by email. FormSubmit says it retains submissions for up to 30 days. If the site's private Cloudflare request store is enabled, a copy may be kept for up to 60 days, then deleted unless a longer period is needed to resolve a request, legal issue or consent withdrawal. A short-lived pseudonymous network marker may be used to limit spam when that store is enabled; the raw IP address is not saved with the lead.

Who receives it

Cloudflare checks lead requests, FormSubmit provides email delivery and the site operator reviews the result. The selected inspector receives a qualified request only after the checks described above. Official council and BPC links open on their own websites and have their own privacy practices.

Advertising and cookies

This site does not currently display Google ads or set Google advertising cookies. If Google AdSense is enabled, third-party vendors including Google may use cookies, web beacons, IP addresses, device identifiers and similar technologies to deliver, personalise and measure advertising. Google may use information about visits to this site and other websites to select personalised ads.

You can manage or opt out of personalised Google advertising in Google Ads Settings. Read how Google uses information from sites and apps that use its services. Where consent is required, the site will ask before enabling advertising cookies. Details entered in the inspection, referral or privacy forms are not intentionally shared with Google for advertising personalisation.

Who operates this site

Pool Letter Help is operated by Haoran as an independent information publisher and referral service. It is not part of the City of Ballarat, BPC or Country VIC Pool Inspections. Use the contact form below for site questions, access or correction requests, consent withdrawal or deletion requests. Messages go to the site operator.

Your choices

You can ask what we hold, correct it, withdraw consent or request deletion. Withdrawing consent does not undo a message already delivered to the chosen inspector, but we will stop any further use we control.
